Job Description:

For this opening we will consider candidates from the following locations: Longmont,CO,United States - MAJOR JOB ACCOUNTABILITIES Microsoft Publisher is a must! - Mailroom Functions - Responsible for the efficient operation of the mailroom and the coordination and set-up of all meetings or events at assigned location in adherence to departmental polices and procedures

  • Sort and prepare mail for internal mail delivery
  • Pickup outgoing mail and deliver internal mail, packages, etc., in a timely and accurate manner adhering to the mail run schedule
  • Prepare courier packages (i.e., Federal Express, Airborne, UPS, etc.) ensuring proper -documentation is maintained to track packages
  • Maintain postage machine ensuring adequate postage Receptionist Functions - Greet and assist office visitors in a professional, courteous manner and notify appropriate personnel of visitors
    • Provide first contact for incoming phone calls and visitors
    • Represent the Company in a professional and courteous manner
    • Screen and direct all phone calls to the correct department or individual in a timely manner
    • Check employee's identification badges, request visitor sign-in, and issue visitor's badges, as necessary
      • May be required to schedule conference rooms in a timely and accurate manner
      • Receive incoming packages and notify appropriate personnel of delivery
      • Perform clerical responsibilities as directed to provide departmental support (e.g., distribute faxes and supplies, provide copying or binding services, deliver and drop-off of dry cleaning, notify supervisor to reorder supplies, maintain calendar(s), etc.)
      • May be required to assist with Security duties (e.g., contact Security via radio when security system or alarm sounds, silence alarms, etc.) Receiving Functions - Receive courier deliveries ensuring timely distribution of material received
        • Prepare all mail, packages, etc, for courier delivery
        • Receive all vendor deliveries ensuring distribution of delivery in an accurate, timely manner
        • Maintain delivery records adhering to established procedures Equipment Maintenance - Maintain copiers and audio visual equipment at assigned facility
          • Instruct users of proper procedures and use of copier or audio visual equipment
          • Maintain all copy related supplies (e.g., copy paper, toner, etc.)
          • Act as point of contact for copier or audio visual equipment repair problems; determine repair problems and, if necessary, place service call
          • Log all facility service problems
          • Prepare copier count report in a timely and accurate manner Event Functions - May be required to set-up for meetings or events coordinating meeting needs
            • Verify what equipment and supplies are needed
            • Coordinate requested refreshments (e.g., prepare coffee, ice, water, sodas, juices, cookies, pastries, cakes, etc.) and deliver to meeting site in a timely manner
            • If necessary, coordinate the set-up of chairs, tables, etc.
            • Maintain adequate inventory of supplies (e.g., paper products, serving utensils, glassware, china, tables, etc.) needed for functions held at facility Team Interfaces/Customer Service - Establish and maintain a professional relationship with internal/external customers, team members and department contact
              • Cooperate with team members to meet goals or complete tasks
              • Provide quality customer service that exceeds customer expectations and improves level of service being provided
              • Treat all internal/external customers, team members and department contacts with dignity/respect
              • Escalate to supervisor any situation outside the employee's control that could adversely impact the services being provided Mental and Physical Requirements - - *This position will be exposed mainly to an indoor office environment and will be expected to work near or around computers, telephones, and printers *The nature of the work in this position is sedentary and the incumbent will be sitting most of the time *Essential physical functions of the job include typing, grasping, pulling hand over hand, and repetitive motions to utilize general computer software/hardware continuously throughout the work day *Essential mental functions of this position include concentrating on tasks, reading information, and verbal/written communication to others continuously throughout the work day Related Duties as Assigned - -

                  • High school diploma or GED required Experience
                    • Minimum one year clerical, customer service, or mailroom experience required Other
                      • Ability to lift 30 pounds required
                      • Ability to type a minimum of 20 words per minute accurately required
